DEFINITION

These Terms & Conditions apply to every person attending the Global Innovation Cooperative Summit, to be held in Torres Vedras, Portugal, in October 27–28, 2025 (hereafter referred to as “the Summit”), organized by the Solidarity Cooperative: International Cooperative Innovation Network (ICIN) (hereafter referred to as “the Summit Organizers“).

All registrations for the Summit are subject to the prior and unconditional acceptance of these general conditions.

REGISTRATION FEES

  • €270 or $CAD 400 if paid by July 30, 2025
  • €300 or $CAD 450 starting from August 1, 2025

PARTICIPATION

  • Submission of the online registration form is considered a firm booking and an acceptance of these Terms & Conditions.
  • Only fully completed registration forms will be accepted.
  • Your registration will not be confirmed until full payment has been received.
  • The registration fee includes:
  • Access to plenary and parallel sessions (unless otherwise specified).
  • Processing of registrations and registration materials.
  • Lunch on October 27 and 28.
  • Two coffee breaks on October 27 and two coffee breaks on October 28.
  • The registration fee does not include accommodation, transport, or other incidental costs.
  • The conference venue has a limited capacity for in-person participants; therefore, registration will be handled on a first-come, first-served basis.
  • Once in-person tickets are sold out, the Summit reserves the right to decline further registrations. We appreciate your understanding.
  • By registering for the 2025 Global Innovation Cooperative Summit, participants are responsible for arranging their own health and travel insurance. The Summit fee does not include insurance.
  • Health & Safety Notice: Participants must comply with all sanitary and safety measures in place at the time of the event.

GROUP REGISTRATION

Groups of more than 5 attendees are entitled to 5% discount.

Payments for the entire group should be made in full to info@icin.coop. You will receive one invoice and one payment receipt for the entire group registration. Should you need individual invoices and payment receipts, please inform us when registering your group.

REGISTRATION CONFIRMATION RECEIPT

A registration confirmation will be sent by email once the registration and payment have been received. Attendees may be required to present this confirmation at the registration counter as proof of their registration and payment.

MEDIA & PRESS PARTICIPATION

Members of the media and press are invited to attend the Summit free of charge, provided they produce at least two articles on the event (plenary sessions or breakout sessions). Applications for the media discount code and media accreditation should be submitted to cprocopio@icin.coop.

METHODS OF PAYMENT

Upon registration on the Summit website, you will receive a preliminary invoice with payment details by email. Registration fees are payable through one of the following options:

  • Credit card (online): You will receive a secure payment link connected to an online payment provider. A credit card receipt will be issued upon payment.
  • Bank transfer: Delegates must include their identification or registration number as a reference on all transfers. All transfer charges must be covered by the sender.

 

Your registration will be validated, and a final invoice will be sent once payment confirmation is received.

CANCELLATION POLICY

If you are unable to attend the Summit, you may transfer your registration to a substitute participant at no extra charge, provided we receive at least eight days’ notice along with the name of your substitute, and full payment has been made.

A new registration form for the substitute participant should NOT be submitted. Name changes will be accepted by email indicating the old and new names including the required contact details.

REFUND POLICY

The refund policy for those unable to attend or transfer their ticket is as follows:

  • Until May 31 → 90% refund
  • From June 1 to August 31 → 50% refund
  • From September 1 to October 25 → Ticket transfers only (no refunds)

 

Refund requests must be formally submitted to cprocopio@icin.coop and must include all necessary bank account details for processing. No refunds will be issued after September 1, including for visa denials or cancellations.

In the case of overpayment or duplicate payments, refund requests must be made in writing and sent to cprocopio@icin.coop . The email receipt date will be used as the basis for issuing refunds.

Concerning VISA If participants do not complete the necessary steps to obtain their visa in due time, no refund will be issued. However, if the visa is denied, provided it was filed in due time, a refund will be granted upon providing proof of registration, including the date.

No refunds will be granted for unattended events or early departure from the Summit. Please note that hotels will have their own cancellation policies, which should be checked separately.

CANCELLATION OF THE SUMMIT

If the Summit is canceled or postponed due to force majeure or events beyond the control of the organizers, the Summit cannot be held liable for any damages, costs, or losses incurred, such as transportation, accommodation, or financial losses. The ticket will not be refunded.

MODIFICATION OF THE PROGRAM

The Summit reserves the right to modify the program. No refunds will be issued in cases of speaker cancellations, limited seating availability, or other unforeseen circumstances beyond the control of the organizers.

LIABILITY

The views expressed by speakers, sponsors, and exhibitors are their own. The Summit does not accept liability for any advice given or opinions expressed by any speaker, sponsor, or exhibitors during the event or in any materials provided to participants.

Additionally, the Summit shall not be responsible or liable for any direct or indirect loss or damage resulting from the services or information provided in connection with the event.

Lastly, the Summit is not liable for the loss of or damage to property belonging to participants during the event.

ONSITE LOST NAME BADGE AND INTERPRETATION DEVICE

Participants must always wear their Summit name badge during the event. Access to the Summit venue will not be granted without it.

If a participant loses, misplaces, or forgets their badge, they will be required to register again and pay the full registration fee.

If someone loses their interpretation device, they will be required to reimburse the Summit organization.

LETTER OF INVITATION

Individuals requiring an official Letter of Invitation for travel or visa application purposes may request one by contacting cprocopio@icin.coop .

To receive a Letter of Invitation, participants must:

  • Have paid their registration fee in full.
  • Provide all necessary details as required in the online request form.

 

The Letter of Invitation does not create any financial obligation for the Summit.

VISA REQUIREMENTS

It is the sole responsibility of attendees to ensure they meet visa requirements. Participants requiring an entry visa must allow sufficient time for the application process and should contact the nearest embassy or consulate to determine appropriate timelines.

The Summit will not contact embassies or consulates on behalf of visa applicants.

Important Notes:

  • It is recommended that participants initiate their visa request at least 60 days before the Summit.
  • Visas will only be issued for the period covered by the travel insurance policy, which must correspond to the participant’s travel dates.
  • Portuguese embassies and consulates make independent decisions regarding visa applications. The Summit cannot appeal visa rejections, intervene on behalf of applicants, or expedite the process.

HEALTH REQUIREMENTS

Attendees are responsible for ensuring they meet all health requirements for safe travel to Portugal. It is recommended to consult official guidelines from their national government and the Portuguese government regarding current health and travel regulations.

QUARANTINE REQUIREMENTS

If you are required to quarantine upon arrival in Portugal or upon returning to your home country, this remains your sole responsibility. Under no circumstances will the Summit be liable for any additional costs incurred, including accommodation, subsistence, or transport expenses.

TRAVEL & HEALTH INSURANCE

It is the responsibility of attendees to arrange appropriate insurance coverage for their participation in the Summit. The Summit is not responsible for any individual medical, travel, or personal insurance.

TRANSPORTATION

Summit registration provides access to the event only and does not include travel arrangements or costs (air, sea, or land transportation).

PRIVACY & DATA PROTECTION

The protection of your data is important to us.

The Summit will collect and store necessary personal information for the preparation and execution of the Global Innovation Cooperative Summit, taking place in Torres Vedras, Portugal, in October 27–28, 2025.

By registering, participants agree that the Summit may use their personal information to contact them via email, telephone, cell phones or WhatsApp regarding:

  • Information relevant to this Summit.
  • Other summits, events, and opportunities the organizers believe may be of interest.

 

Participants may request removal from the Summit database at any time.

USE OF PHOTOS AND VIDEOS

Participants acknowledge and agree that photographs, videos, and other visual recordings may be taken during the event. By participating, each participant consents to the use of these images and videos by the organizer for promotional, commercial, or media purposes, without compensation, in compliance with applicable law.

Participants are strictly prohibited from using any photos, videos, or recordings taken during the event on social media or other media for defamatory, degrading, discriminatory purposes, or for any other reason that could harm the image, dignity, or rights of other participants or the organizer. Any use of these images for purposes that violate these principles may result in legal action.

WEBSITE & LINKS

The Summit website may include links to external websites and networking tools for user convenience. The Summit is not responsible for the content of these third-party websites. Likewise, the Summit does not assume responsibility for any website linking to its own.

GENERAL TERMS

The Summit reserves the right to change, amend, add, or remove any of the terms outlined above without prior notice. If one or more of these conditions are found to be invalid, the remaining terms shall continue to apply.

These Terms & Conditions apply to all participants, including speakers, sponsors, and exhibitors.

APPLICABLE LAW & JURISDICTION

These Terms & Conditions are governed by and shall be construed in accordance with the laws of Portugal. Any legal action or proceedings related to these Terms & Conditions shall be under the exclusive jurisdiction of the courts of Portugal.
